What every professional invoice should include

Whether you build it here or somewhere else, a client-ready invoice needs all of these — leave one out and you'll get a "can you resend this?" email that delays payment:

• Your business name and contact info — so the client knows who to pay and how to reach you.
• The client's name and address — the "bill to" block, matched to whoever cuts the check.
• A unique invoice number — sequential (INV-0001, INV-0002…) so both sides can reference it.
• Invoice date and due date — a real due date, not just "Net 30" buried in the notes.
• Itemized line items — description, quantity, and rate for each piece of work.
• Subtotal, tax, and total due — clearly separated so there's no math argument later.
• Payment terms and methods — how you want to be paid, and by when.

How to create your invoice

1. Add your business details. Your name, address, and email fill the top-right "from" block.
2. Add your client. Who you're billing goes in the "bill to" block.
3. List the work. One line per item or service — description, quantity, rate. Amounts total automatically.
4. Set your tax rate. Enter a percentage (or leave it at 0) and the tax line and grand total update live.
5. Download or print. Hit Download PDF for a saved file, or Print / Save as PDF to use your browser's print dialog. Email it to your client and you're done.

Get paid faster than "Net 30"

A PDF is a fine start, but a static document still leaves the client to open their bank app, type in your details, and remember to actually send the money. That gap is where invoices go to die. The fastest-paying invoices share three traits:

• Sent the same day. The longer you wait to invoice, the longer you wait to get paid.
• A short, specific due date. "Due July 30" beats "Net 30" — and Net 7 or Net 15 beats both.
• A one-click way to pay. An online "Pay now" button (card or bank transfer) removes the friction that stalls a paper invoice for weeks.
